Always Tile & Stone LLC, a commercial flooring contractor, was overwhelmed by manual bid management. Their small estimating team received hundreds of bid invitations monthly from various platforms and general contractors, handling them through emails and Google Sheets, a process that was time-consuming, error-prone, and led to missed opportunities. We delivered a two-phase modernization: first automating bid intake with an AI-powered email parser on Google Workspace, then building a custom bid management application, reducing manual workload, improving bid capacity, and enhancing win rates without adding headcount.
Phase 1: AI-Powered Automation on Google Workspace
The first phase required no new infrastructure. An AI email parser was layered on top of existing Google Workspace tools, reading incoming bid invitations, extracting key project details, downloading attachments, creating standardized Google Drive folders, and populating the bid tracking Google Sheet automatically. Estimators went from spending 10–20 minutes per email to zero manual entry.
Phase 2: Custom Bid Management Platform
The second phase replaced the Google Sheets workflow with a purpose-built web application. The platform centralizes all bid activity, incoming emails, extracted project details, file organization, estimator assignments, and proposal tracking, in a single interface designed specifically for non-technical construction estimators.

The two-phase approach delivered immediate value without disrupting existing workflows. Automation was introduced first to prove ROI and build team confidence, then the custom platform replaced the patched-together tooling with a system built for how the team actually works, handling 12–15 bid platforms, automatic due date tracking, and real-time pipeline visibility for leadership.
